PRIVACY POLICY
Privacy Policy
Last Updated: October 26, 2026
Root Cause Institute (“Root Cause Institute,” “we,” “us,” or “our”) respects your privacy and recognizes the importance of protecting the personal and sensitive information entrusted to us.
This Privacy Policy explains how we collect, use, store, and disclose information when you visit our website, purchase or participate in our courses, programs, coaching, mentorship, group calls, or other services, submit information through our forms, or otherwise interact with Root Cause Institute.
1. INFORMATION WE MAY COLLECT
Depending on how you interact with us, we may collect information including:
Contact information: Your name, email address, telephone number, country, and other information you choose to provide.
Account and transaction information: Courses or services purchased, enrollment information, payment status, and transaction history. Payment information may be processed by third-party payment processors rather than stored directly by Root Cause Institute.
Course and program information: Participation, progress, questions, written submissions, exam responses, feedback, and communications with instructors or our team.
Health and personal information: Information you voluntarily share, which may include information concerning cancer or other health conditions, symptoms, life experiences, relationships, emotional challenges, trauma, spirituality, lifestyle, or other sensitive personal matters.
Recordings: Where applicable, recordings of individual sessions and Group Coaching Calls, as described below.
Website and technical information: IP addresses, browser and device information, pages visited, cookies, analytics information, and similar technical data collected through our website and service providers.
2. HOW WE USE INFORMATION
We may use personal information to:
Provide and administer our courses, programs, and services.
Process purchases and enrollments.
Communicate with students and clients.
Respond to questions and requests.
Provide educational or coaching support.
Maintain course and account records.
Operate and improve our website and programs.
Send communications you have requested or agreed to receive.
Protect our services and users.
Comply with applicable legal obligations.
Otherwise operate Root Cause Institute for legitimate business purposes consistent with applicable privacy laws.
We do not sell personal health information.
3. SENSITIVE HEALTH AND PERSONAL INFORMATION
Because Root Cause Institute explores emotional, psychological, behavioural, relationship, and spiritual dimensions of health and personal development, participants may voluntarily disclose highly personal or health-related information.
We recognize the sensitive nature of this information and seek to handle it respectfully and with appropriate safeguards.
We collect and use sensitive personal information only for purposes reasonably necessary to provide our services, or for other purposes to which the participant has specifically consented, subject to applicable law.
Please share only information you are comfortable providing and that is reasonably relevant to your participation.
4. PRIVATE 1-TO-1 SESSIONS
Individual Root Cause Sessions, mentorship sessions, and other private sessions may be recorded where recording is part of the service and the participant has been informed of the recording.
These recordings are treated as private and are used for purposes connected with providing and maintaining the participant's service, unless the participant gives specific permission for an additional use.
Private mentorship communications, including messages, voice recordings, and other exchanges through Telegram or other designated communication platforms, are treated as confidential personal information and are subject to the same privacy protections described in this policy.
Root Cause Institute will not use or share portions of a private 1-to-1 session in courses, educational resources, training materials, testimonials, marketing, social media, or other content without the participant's permission.
If we would like to use part of a private session for an additional purpose—for example, because an excerpt could provide educational value to students—we will request permission specifying the intended use.
Where permission is granted, we may also agree with the participant to remove or modify identifying information, such as names, images, identifying details, or voice characteristics.
Permission to use one recording or excerpt for a particular purpose does not constitute unlimited permission to use the participant's information for unrelated purposes.
5. GROUP COACHING CALLS
Group Coaching Calls associated with Root Cause Institute courses and programs are educational group environments and operate differently from private 1-to-1 sessions.
Group Coaching Calls are recorded.
Recordings may be added to the private library of recorded calls associated with the applicable Root Cause Institute course or program.
These recordings may be made available to:
Participants currently enrolled in the applicable course or program.
Future participants who subsequently enroll in that course or program and receive access to its associated Group Coaching Call library.
These recordings are intended for use within Root Cause Institute's private educational environment and are not made publicly available by Root Cause Institute.
Because participants may appear on video, speak, ask questions, or share personal information during a recorded call, participation may result in a participant's image, voice, name, statements, and information they voluntarily disclose appearing in the recording.
Participants who do not wish to disclose particular information in a recording should not share that information during the call. Where available, participants may also choose privacy measures such as keeping their camera turned off or limiting identifying information displayed through their account.
Recording Acknowledgment and Consent
Before participating in a recorded Group Coaching Call, participants will be informed of the recording arrangements, including potential access by future students, and asked to provide any consent required by applicable law.
Participants who do not agree to the recording arrangements may choose not to participate in the recorded call.
Participation in a Group Coaching Call requires acknowledgment of and agreement to the recording and educational-use arrangements before participating.
Other participants are expected to respect the confidentiality and privacy of information shared during group calls.
However, because group calls involve multiple participants, Root Cause Institute cannot guarantee that another participant will not independently disclose information they hear or see.
Participants should therefore use appropriate discretion when sharing sensitive personal information.
6. TESTIMONIALS AND STORIES
We will seek permission before intentionally publishing an identifiable client's or student's testimonial, personal story, photograph, video, or similar material for promotional purposes.
Permission for one specific use does not automatically authorize materially different uses.
7. THIRD-PARTY SERVICE PROVIDERS
We use third-party services to operate portions of our business, including website and course hosting, payment processing, email communications, video conferencing, cloud storage, analytics, and other technology services.
Our principal service providers include:
LearnWorlds: Course hosting, student accounts, enrollments, course participation, and educational resources.
Stripe: Payment processing and related transaction services.
Mailchimp: Email communications, mailing-list management, and marketing automation.
Netlify: Hosting and delivery of our public website.
We may also use other service providers for video conferencing, communications, file storage, website functionality, and related business operations.
These providers may process personal information as necessary to provide their services to us.
Where appropriate, we seek to use reputable providers and limit access to information according to the services being provided.
Some providers may process or store information outside Canada.
8. DATA SECURITY
We use reasonable administrative, technical, and organizational measures intended to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.
However, no method of electronic transmission or storage can be guaranteed to be completely secure.
9. DATA RETENTION
We retain personal information for as long as reasonably necessary for the purposes for which it was collected, to provide our programs and services, maintain appropriate business and educational records, comply with legal obligations, resolve disputes, and protect legitimate business interests.
Certain educational recordings, including Group Coaching Call recordings, may be retained as part of the ongoing educational library available to current and future participants in the applicable program.
Requests Concerning Educational Recordings
Requests concerning personal information contained in educational recordings will be reviewed individually, taking into account applicable privacy rights, the purposes for which consent was obtained, and any legal or practical limitations on modifying recordings previously made available to participants.
Where required by applicable law, we will take appropriate steps to address valid requests.
10. EMAIL COMMUNICATIONS
If you subscribe to our email communications, we may send you educational content, program information, announcements, and promotional communications.
Enrollment in a course or program does not automatically constitute consent to receive promotional emails. Where required by applicable law, marketing consent is obtained separately from enrollment or purchase.
You may unsubscribe from marketing emails using the unsubscribe option provided in those communications.
We may still send necessary transactional or service-related communications concerning purchases, accounts, courses, or programs in which you participate.
11. COOKIES AND ANALYTICS
Our website and service providers may use cookies and similar technologies to operate the website, remember preferences, understand website usage, improve our services, and perform analytics.
Where required by applicable law, choices or consent regarding non-essential cookies will be provided.
12. CHILDREN
Root Cause Institute's courses and services are intended for adults unless expressly stated otherwise.
We do not knowingly collect personal information directly from children through our general website or adult programs in circumstances where parental or guardian consent is legally required.
13. YOUR PRIVACY CHOICES AND RIGHTS
Depending on where you live, applicable privacy laws may provide rights concerning your personal information, which may include rights to request access, correction, deletion, withdrawal of consent, or information regarding certain uses or disclosures.
Where applicable, Root Cause Institute will respond to valid privacy requests in accordance with applicable law.
Requests may be submitted through the Message Submission Form on our official website.
14. INTERNATIONAL PARTICIPANTS
Root Cause Institute serves individuals in multiple countries.
By interacting with our services, personal information may be processed or stored in countries other than the country in which you reside, including the United States, subject to applicable legal requirements.
Where required, we will provide appropriate notices and implement safeguards relating to international processing or transfers of personal information.
15. CHANGES TO THIS PRIVACY POLICY
We may update this Privacy Policy periodically to reflect changes in our practices, technology, services, or legal obligations.
The updated version will be posted on our website with a revised “Last Updated” date.
